Job Description
We are seeking an Administrate Assistant for a 1 year+ contract position in Spokane, WA. The individual will provide administrative support to the Spokane Mining Research Division (SMRD) of The National Institute for Occupational Safety and Health (NIOSH). This is a full-time (40 hours per week) position working Monday – Friday. Duties to be performed: · Office support: o Develop a working knowledge of federal policies and procedures relevant to the position including those related to procurement, travel, training, transition/succession planning, and records management. o Schedule meetings, interviews, conferences, and workshops, ensuring appropriate facilities, equipment, and/or information are available. o Attend weekly in-person meetings with the NIOSH Points of Contact to assess progress. o Organize and maintain hardcopy file folders and files. o Generate photocopies of handouts, training materials, etc. in timely and efficient manner. o Type and format documents including memos, minutes, letters, reports, etc. with accuracy. o Complete various data entry assignments with a high level of accuracy. · Travel: o Prepare domestic travel orders/vouchers for staff and invitational travelers using the government electronic system. o Prepare hardcopy travel documents and packages for travelers prior to departure. o Attend regularly scheduled travel meetings to keep abreast of new and changing travel policies. o Assist staff with travel cost estimates for anticipated travel. o Respond to travel audits in timely and efficient manner. · Procurement: o Support the procurement process from beginning to end. o Prepare and submit purchase requests for office supplies, reference materials, training materials, and other simple acquisition procurements. o Obtain approvals, and submit complete package to Program Specialist. o Update tracking spreadsheet accordingly. · Training: o Prepare and submit training orders for approval. o Modify and/or cancel training orders and track orders electronically. o Inform staff when training orders have been approved. o Assist in identifying relevant vendors for staff and Divisional training needs. · Other: Complete other administrative support duties as assigned. Required Skills / Experience: The right individual must have 1-2 years of professional Administrative experience and be proficient in the Microsoft Office Suite of products. The professional must be able to work independently in a fast-paced environment and be able to follow through to ensure the completion of assigned duties. Lastly, the person must have demonstrated exceptional written and oral communication and organizational skills.
