Job Description

​ The Department of Justice, United States Attorney’s Office (USAO) – District of Vermont has a requirement for one (1) General Clerk III to provide services to the Burlington, Vermont office. Performance will be performed at the U.S. Attorney’s Office, District of Vermont, 11 Elmwood Avenue, Burlington, Vermont 05401. Travel within the district may be required. Allowable travel expenses will be reimbursed. Must be a US Citizen and be able to pass an extensive background check. ​   Qualifications ·        A High School Diploma, or equivalent (an undergraduate degree is preferred). ·        The contractor must have a minimum of four (4) years of experience in a professional office environment, preferably a legal environment. ·        Good oral and written communication skills. Minimum educational requirements of being fully capable of reading, writing, understanding, and speaking common English. ·        Good attention to detail and the ability to read and follow directions. ·        General skills of word processing including proficient use of Word, Excel, and Outlook (ability to prepare and correct reports and correspondence). ·        Ability to review and analyze data and information from multiple sources (i.e., retrieving data from databases, obtaining information from other agencies and organizations, etc). Good organizational skills. ·        Ability to deliver highest quality work under pressure. Able to meet established deadlines and work as a team player in a professional office. ·        Able to work in an office setting. Some walking, standing, bending and carrying of small office items is required. ·        Ability to work and interact professionally and effectively with all levels of staff. Skilled in meeting and dealing with people in a courteous and tactful manner. ·        U.S. citizenship and the Contractor employee meet the Department of Justice residency requirements.   Duties ·        Processes a variety of legal documents, which are relatively routine or straightforward in content and format. ·        Coordinates staff travel to include making travel reservations, preparing travel authorizations and vouchers, resolving billing issues and obtaining travel related receipts. ·        Scans paper evidence to convert to digital images. Quality controls scanned images, runs Optical Character Recognition to make them text searchable and performs basic data entry about the documents in case database. Runs searches in case database and redacts sensitive information prior to discovery. Assists AUSAs and case agents as needed with projects for specific cases, to include reviewing case documents for accuracy, compiling spreadsheets and data in Microsoft Office software, and reviewing voluminous audio files for relevant case material, and preparing transcripts of audio and video files. ·        Assists with the physical maintenance of the District's closed case files including keeping an inventory of the closed file room, organizing the files and space, periodically reviewing closed files and preparing for offsite storage, indexing shipments in Case Management Database, following required secure shipping procedures for sending sensitive case files to the Federal Records Center. Also oversees offsite destruction of materials including scheduling and supervising shred truck and inventorying and preparing electronic media for disposal at offsite secure site. ·        Performs Receptionist duties as required, to include: answering and routing calls, taking and relaying messages, greeting and communicating with visitors to the office; and opening, date-stamping and disseminating mail. ·        Assists with maintenance and update of the office law library. ·        Stocks forms or other office supplies and notifies appropriate staff person when reorder level is reached. ·        Occasionally assists with receiving deliveries on the loading dock, to include maneuvering the freight elevator, unpacking, and uncrating items, and delivering items from the loading dock to the 2nd and/or 3rd floor, and escorting delivery personnel. ·        As needed, assists the USAO Freedom of Information Act (FOIA) officer in collecting USAO documents that may be responsive to FOIA requests received by the USAO. ·        As needed, assists USAO personnel in collecting data responsive to EOUSA data calls received by the USAO. ·        Assists with the physical maintenance of the District’s closed case files including keeping an inventory of the closed file room, organizing the files and space, periodically reviewing closed files and preparing for offsite storage, indexing shipments in Case Management Database, and following required secure shipping procedures for sending sensitive case files to the Federal Records Center. • Assists in offsite destruction of materials including scheduling and supervising shred truck and inventorying and preparing electronic media for disposal at offsite secure site. ·        Assists the Asset Manager with Unified Asset & Property Management (UAPM) Asset Tracking as a Data Collector. Locates and verifies assets to be inventoried as assigned by the Asset Manager and scans barcodes into Asset Track application.
